Terms of Service

Important - please read
Rental Unify is software only. We are not a hotel, property manager, landlord, travel agency, marketplace, insurer, or payment processor for guest stays. When Direct Booking is enabled, the host is the merchant of record: guest payments go to the host via Stripe Connect; the host is solely responsible for the property, the stay, taxes, permits, guest issues, refunds, and legal compliance. Rental Unify does not earn guest booking revenue and does not mediate host-guest disputes as a party to the rental.
These Terms of Service (“Terms”) are a legal agreement between you and Rental Unify (“Rental Unify,” “we,” “us,” or “our”) governing access to and use of the websites, applications, APIs, calendar synchronization tools, and private direct-booking pages available at rentalunify.com (collectively, the “Service”). By creating an account, enabling a listing page, making or receiving a booking through the Service, or otherwise using the Service, you agree to these Terms and our Privacy Policy. If you do not agree, do not use the Service.
1. Eligibility and accounts
You must be at least 18 years old (or the age of majority where you live) and able to form a binding contract to use the Service. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization to these Terms.
Host accounts vs guest accounts. Registration from the public marketing website (including /signup) creates a host account for managing properties, calendars, billing, and Direct Booking. It is not for guests booking a stay. Guests may optionally create a guest account only from a private Direct Booking listing link they already received, or they may continue as a guest without registering. Guests who do not have a private listing link cannot register as a guest until a host shares one. Guest accounts and host accounts are separate; guest logins cannot access the host dashboard.
You are responsible for safeguarding your login credentials and for activity under your account. Notify us promptly of any unauthorized use. We may refuse registration, reclaim usernames, require additional verification (including identity or business verification and multi-factor authentication for administrator and paid host accounts), and suspend accounts that appear fraudulent or abusive.
2. The Service
Rental Unify provides software tools that help hosts (a) aggregate property availability from third-party listing platforms via iCalendar feeds, (b) view a unified calendar, (c) create manual availability blocks, (d) detect certain overlapping-date conflicts, (e) publish a merged export feed that platforms can import, and (f) when available on your plan, operate private Direct Booking pages so invited guests can request or pay for stays using a link or QR code you share.
The Service is a software portal and synchronization aid. It is not a public marketplace, booking agency, property management company, hotel operator, insurer, escrow, tax remitter, or substitute for your obligations under law or under each listing platform’s terms.
We do not browse, index, or promote host properties in a public directory. Direct Booking pages are intended to be reachable only by people who receive your private link or QR code.
3. Private Direct Booking Portal
If Direct Booking is enabled for your account or property, you may publish a private listing page with an unguessable URL and optional QR code. Guests who have that link may view availability you expose through the Service and complete a booking/payment flow when your Stripe Connect account is ready.
Host is merchant of record. Guest stay payments are processed through Stripe Connect to your connected Stripe account. Rental Unify does not receive, hold, or control guest booking funds (except any optional platform fee we may disclose in writing in the future - which, if none is shown at checkout, is zero). You are solely responsible for pricing, refunds, chargebacks, lodging/occupancy taxes, permits, safety, accessibility disclosures, and all host-guest contractual terms for the stay.
Not a marketplace. We do not match strangers to listings, guarantee occupancy, vouch for hosts or guests, or operate as the landlord or co-host. A booking confirmation through the Service creates a relationship between host and guest only. Rental Unify is not a party to that rental agreement.
Enabling Direct Booking requires a valid subscription (where gated by plan), accurate listing information, and a Stripe Connect account in good standing. If your subscription lapses, your Connect account is restricted, or we suspend the feature for abuse, private pages may become unavailable. You remain responsible for honoring confirmed bookings according to the terms you offered the guest and applicable law.
Trust Kit (optional host tools). Hosts may enable a security deposit authorization (card hold via Stripe on the host Connect account), identity verification through Stripe, and guest check-in/check-out evidence photo uploads. Deposit capture or release is controlled by the host. Evidence photos and verification outcomes are stored to support the stay and dispute handling between host and guest. Rental Unify does not decide lodging disputes and is not the merchant of record for deposit funds. Guests should only complete Trust Kit steps through official Rental Unify pages and Stripe Checkout or Stripe Identity flows.
Location Privacy. Hosts choose whether the private listing shows an approximate area, the exact street address, or the exact address only after a stay is confirmed. The full address remains stored for the host. Approximate mode must not expose street or exact door-level coordinates to unauthenticated visitors; confirmed guests may still receive the full address on their booking confirmation.
Long Term Stays (optional host tools). Hosts on eligible plans may enable Long Term furnished stays on a private listing (always on or seasonal), set month limits, rent, security deposit, and payment preferences, and use inquiry, contract drafting, and optional payment workflows. Rental Unify provides software and tools only, including a generic United States common-practice contract template hosts may edit. That template is not legal advice, not an official attorney document, and not certified for any state. The host alone is responsible for contracts they draft, edit, send, or enforce. Rental Unify is not a party to host-guest long-term agreements and is not liable for disputes, damages, unpaid rent, deposit claims, or eviction outcomes. Security deposit and renter's insurance settings are host choices, not advice from Rental Unify. Long Term guest payments, when collected through Stripe, go to the host via Stripe Connect. Long Term stays may create residential tenancy rights under local law.
Discount subscribe list. Guests may optionally submit their name and email on your private listing to hear about future discounts or coupons. That information is stored for you (the host) in your Leads list. You are responsible for lawful promotional email practices, including providing a way for guests to stop receiving offers. Hosts may send offer emails from Leads using coupon codes they created under Coupons. Guests may also Message Host from a private listing with potential stay details and a question; that inquiry is emailed to the host and stored in Leads. Optional Birthday Offers (per listing) may collect birthday month and day (not year) and send automatic surprise discount emails near a guest’s birthday. You control whether Birthday Offers are on and the discount percent. Turning them off pauses those emails and hides birthday fields on the listing subscribe form.
4. Mandatory contact exchange after confirmation
To keep the Service free of in-app messaging noise, hosts and guests communicate outside Rental Unify (email and/or phone) after a booking is confirmed.
Required contact information. Before a booking can be confirmed:
- The guest must provide a working email address and phone number (and legal name). False or disposable contact details are prohibited.
- The host must maintain a working contact email and phone number on the listing/account that will be shared with the guest upon confirmation. Hosts may not enable Direct Booking without complete, accurate contact fields.
Upon payment confirmation (or other confirmation status we define in-product), the Service will disclose the guest’s name, email, and phone to the host, and the host’s name (or business name), email, and phone to the guest - typically via confirmation emails and the booking confirmation page. By completing a booking or enabling Direct Booking, you consent to this exchange for the purpose of coordinating the stay.
Rental Unify does not operate a guest-host chat inbox. Failure to share truthful contact information, or using the contact exchange to harass, spam, or defraud, is a material breach of these Terms.
5. Important limitations of iCal synchronization
Calendar synchronization over iCal is pull-based. Third-party platforms (including but not limited to Airbnb, Vrbo, Booking.com, and Furnished Finder) control how often they refresh imported or exported calendars. Delays, outages, feed format changes, rate limits, or incomplete platform support may cause temporary mismatches between channels.
Rental Unify reduces the risk of double bookings but does not guarantee that double bookings, overlapping reservations, or listing conflicts will never occur. You remain responsible for verifying availability on each platform, reviewing conflict alerts in the dashboard, and resolving disputes with guests or OTAs. Confirmed Direct Bookings block nights in Rental Unify and in your export feed, but third-party platforms may still lag when importing that feed.
6. Your responsibilities
You agree that you will:
- Provide accurate account, property, pricing, and contact information;
- Only connect calendar URLs and feeds that you are authorized to use, and comply with each platform’s terms, policies, and technical requirements;
- Keep export feed URLs and Direct Booking links confidential and rotate them if compromised;
- Monitor connection health, sync results, and conflict alerts;
- As a host using Direct Booking: ensure you have the legal right to offer the property; comply with local short-term rental, tax, safety, and licensing laws; honor confirmed stays or handle cancellations/refunds lawfully through Stripe and direct communication with the guest;
- As a guest: provide truthful identity and contact details; pay only through the official checkout we present; never send money to a host outside the official payment flow based on a suspicious request;
- Use the Service only for lawful purposes related to short-term or vacation rental operations.
7. Plans, billing, and taxes on your Rental Unify subscription
We offer free and paid subscription plans with limits on properties, connected platforms, and optional add-ons (such as extra properties or Direct Booking access), as described on our pricing pages and in your Billing dashboard. Plan features and prices may change; changes to paid plans will apply prospectively with notice as required.
Paid subscriptions renew automatically on a monthly or annual cycle until canceled. Fees are billed in advance through Stripe. You authorize us (and Stripe) to charge your selected payment method for recurring fees and applicable taxes. Prices displayed may exclude taxes; you are responsible for any taxes associated with your subscription purchase unless we state otherwise.
Guest-stay taxes (lodging tax, occupancy tax, VAT on the stay, etc.) are the host’s responsibility. Rental Unify does not calculate or remit guest-stay taxes unless we explicitly state otherwise in a future product feature.
Failed subscription payments may result in retry attempts, past-due status, feature limits (including disabling Direct Booking pages), or suspension until payment succeeds. Manage payment methods and invoices through the Stripe customer portal linked from Billing.
8. Cancellation and refunds
Your Rental Unify subscription. You may cancel a paid subscription at any time via the Stripe customer portal (Billing → Manage this plan) or by contacting support. Cancellation stops future renewals; you generally retain access through the end of the then-current paid period unless we state otherwise. Except where required by law, subscription fees are non-refundable, including for partial periods, unused properties/platforms, or downgrades mid-cycle.
Guest bookings. Refunds, partial refunds, and cancellation outcomes for a stay are between host and guest (and Stripe’s payment rules). Rental Unify is not obligated to refund guest payments and is not the merchant for those charges. Hosts must handle cancellations through the tools we provide and/or Stripe, and must communicate directly with the guest.
9. Acceptable use, trust & safety, and anti-fraud
You may not, and may not allow others to:
- Violate any law or third-party right;
- Use the Service to run scams, phishing, advance-fee fraud, fake listings, bait-and-switch properties, or any scheme to obtain money, identity data, or access codes under false pretenses;
- Impersonate another person or business, misrepresent ownership of a property, or list a property you are not authorized to offer;
- Collect guest or host contact information for spam, harassment, doxxing, or sale to third parties;
- Circumvent Stripe Checkout or ask guests to pay via wire, gift cards, crypto, or off-platform methods as a condition of booking (hosts must use the official payment flow for Direct Booking stays);
- Probe, scan, or attack the Service, bypass security, or access non-public areas without authorization;
- Upload malicious code or abusive/illegal content via feeds, listing text, photos, or forms;
- Resell, sublicense, or provide the Service to third parties as a competing product without our written consent;
- Scrape the Service in a way that overloads or harms our systems, or harvest private booking URLs;
- Abuse referral or coupon programs (including using your own referral link, creating multiple accounts, or using alternate emails/phones to obtain self-discounts);
- Interfere with other customers’ use of the Service.
We may investigate suspected abuse, require identity or ownership verification, limit new listings, freeze Direct Booking, cooperate with Stripe and law enforcement, and suspend or terminate accounts. We may also remove listing content that appears fraudulent or unlawful. Reporting suspected scams: support@rentalunify.com.
10. Intellectual property
The Service - including software, design, trademarks, and documentation - is owned by Rental Unify or its licensors and is protected by intellectual property laws. Except for the limited right to use the Service under these Terms, no rights are granted to you.
You retain ownership of your account content (such as property names, listing copy, photos, and the calendar URLs you provide). You grant us a worldwide, non-exclusive license to host, process, transmit, and display that content solely to operate and improve the Service, including showing it on private Direct Booking pages you enable.
11. Third-party services and platforms
The Service integrates with or relies on third parties, including listing platforms, Stripe (subscription billing and Connect payouts), and email delivery providers. Those services are governed by their own terms and privacy policies. We are not responsible for third-party outages, policy changes, fee schedules, account suspensions, chargebacks, or data handling outside our control. Your relationships with OTAs, Stripe, hosts, and guests remain solely between you and those parties.
12. Availability, maintenance, and changes
We aim for reliable uptime but do not guarantee uninterrupted or error-free Service. We may perform maintenance, deploy updates, or temporarily limit features (including maintenance mode). We may modify or discontinue features with reasonable notice when practicable. Continued use after changes constitutes acceptance of updated Terms when posted.
13. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTY ARISING FROM COURSE OF DEALING OR USAGE OF TRADE.
WITHOUT LIMITING THE FOREGOING: WE DO NOT WARRANT THAT THE SERVICE WILL PREVENT DOUBLE BOOKINGS; THAT FEEDS WILL ALWAYS BE CURRENT; THAT THIRD-PARTY PLATFORMS WILL HONOR IMPORTED AVAILABILITY WITHOUT DELAY OR ERROR; THAT ANY HOST, GUEST, LISTING, OR PROPERTY IS SAFE, LAWFUL, ACCURATE, OR AS DESCRIBED; THAT PAYMENTS, REFUNDS, OR PAYOUTS WILL BE SUCCESSFUL; OR THAT PRIVATE LINKS WILL REMAIN SECRET IF YOU SHARE THEM.
RENTAL UNIFY DOES NOT OWN, OPERATE, MANAGE, OR INSPECT PROPERTIES. WE ARE NOT RESPONSIBLE FOR PERSONAL INJURY, PROPERTY DAMAGE, LOST BELONGINGS, FAILED CHECK-INS, DISCRIMINATION CLAIMS, TAX ASSESSMENTS, OR ANY DISPUTE ARISING FROM A STAY ARRANGED USING THE SERVICE.
14. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, RENTAL UNIFY AND ITS AFFILIATES, OFFICERS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR BUSINESS OPPORTUNITY, ARISING OUT OF OR RELATED TO THE SERVICE OR THESE TERMS, WHETHER BASED ON WARRANTY, CONTRACT, TORT (INCLUDING NEGLIGENCE), STATUTE, OR ANY OTHER LEGAL THEORY, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS YOU PAID TO US FOR THE RENTAL UNIFY SUBSCRIPTION IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY, OR (B) ONE HUNDRED U.S. DOLLARS (US $100) IF YOU HAVE NOT PAID ANY SUBSCRIPTION FEES. GUEST BOOKING AMOUNTS PAID TO HOSTS ARE NOT “AMOUNTS PAID TO US” FOR THIS CAP.
Some jurisdictions do not allow certain limitations; in those cases, our liability is limited to the fullest extent permitted by law. Nothing in these Terms excludes liability that cannot be excluded under applicable law (for example, certain liability for fraud or personal injury caused by us).
15. Indemnification
You will defend, indemnify, and hold harmless Rental Unify and its affiliates, officers, directors, employees, and agents from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to: (a) your use of the Service; (b) your listings, properties, guests, hosts, or platform accounts; (c) any stay, payment, refund, tax, injury, or dispute connected to a Direct Booking; (d) your violation of these Terms or applicable law; or (e) your infringement of any third-party right.
16. Suspension and termination
You may stop using the Service at any time and may delete or request deletion of your account. We may suspend or terminate access immediately if you breach these Terms, if required by law, if your use risks harm to the Service or others (including suspected fraud), or if your subscription lapses. Upon termination, your right to use the Service ends. Sections that by their nature should survive (including ownership, disclaimers, limitations, indemnity, and governing law) will survive.
17. Governing law and disputes
These Terms are governed by the laws of the State of Connecticut, USA, without regard to conflict-of-law principles. Except where prohibited, you agree that state or federal courts located in or serving Norwalk, Connecticut (Fairfield County) shall have exclusive jurisdiction over disputes arising from these Terms or the Service, and you consent to personal jurisdiction there. You and Rental Unify waive any right to a jury trial to the extent permitted by law. Either party may seek injunctive relief in any court of competent jurisdiction for intellectual property or unauthorized access claims.
18. Miscellaneous
These Terms, together with the Privacy Policy and any plan-specific terms shown at purchase, are the entire agreement between you and us regarding the Service and supersede prior agreements on the same subject. If any provision is found unenforceable, the remaining provisions remain in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them in connection with a merger, acquisition, or sale of assets. Notices may be provided by email, in-product message, or posting to the website.
These Terms are a template for a software portal and are not a substitute for advice from your own attorney. Have counsel review before relying on them in a live commercial launch.
